Who We Are

Vela Safari is a registered tour operator in Tanzania, offering:
✔ Kilimanjaro & Mount Meru Trekking Expeditions
✔ Wildlife Safaris (Serengeti, Ngorongoro, Tarangire, etc.)
✔ Cultural & Day Trips (Maasai village visits, coffee tours, etc.)
✔ Zanzibar Beach Getaways

When These Terms and Conditions Apply

These Terms and Conditions govern the relationship between the Client and Vela Safari Limited (hereafter referred to as “the Company”) and apply in the following situations:

  • When you book a trip directly with us;

  • When you book through our authorized partners or agents;

  • When booking with us, you automatically agree to be bound by these Terms and Conditions.

Our Warranties and Representations

We warrant and represent that:

  • We hold all necessary licenses and permits to operate wildlife safaris, Kilimanjaro climbs, and other tours in Tanzania;

  • Our team consists of highly trained guides, drivers, and travel consultants with extensive experience in Tanzanian tourism;

  • All marketing and advertising materials accurately represent our services without exaggeration;

  • We are a tour operator, not a travel agency, meaning we directly manage your experience with minimal third-party involvement (except for hotels and airlines);

  • We are committed to sustainable tourism, supporting local communities, and minimizing environmental impact;

  • A portion of our proceeds contributes to local conservation and community projects in Tanzania.

Treatment of Your Personal Information

We collect necessary personal details (name, passport, dietary/medical info) to arrange your trip. Some data is shared with national parks, hotels, and airlines for permits and bookings.

Booking and Payment Process

  • deposit is required to confirm your booking.

  • Full payment must be made 14 days before departure, unless otherwise agreed.

  • Bank charges (3.5% for card payments, wire fees) are the client’s responsibility.

  • Late payments may result in cancellation (deposit forfeited per cancellation policy).

Prices

Prices are fixed unless Tanzanian park fees/taxes increase (proof provided). You may then:

  • Cancel for a refund (per our policy), or

  • Pay the difference and proceed.

Changes to Itinerary

  • Client-requested changes (free if no extra costs incurred).

  • Company changes (rare, due to weather, safety, etc.)—we’ll notify you promptly.

  • Third-party disruptions (flights, etc.) are not our liability, but we’ll assist where possible

Rescheduling Tours

  • Must notify us 60+ days before departure for date changes (within 1 year of original dates).

  • Airlines/lodges may impose fees—clients cover these costs.

Cancellations

Non-refundable deposit: $100 (transferable to new dates).

Cancellation fees:

    • 10% if >90 days before

    • 30% if 60–89 days before

    • 60% if 30–59 days before

    • 80% if 8–29 days before

No refund if <7 days before.

Travel insurance is strongly recommended.

Travel Documents & Visas

  • Ensure your passport is valid for 6+ months with blank pages.

  • Obtain a Tanzanian visa (online recommended).

  • We provide general visa advice but no guarantees—consult the Tanzanian Embassy.

Accommodation

  • Safaris: Shared lodging (single supplements available).

  • Kilimanjaro: Shared tents (single tents optional, except Marangu route).

  • Hotel substitutions (if needed) will be communicated in advance.

Health & Fitness

  • Assess your fitness level for safaris/climbs; consult a doctor if unsure.

  • Medical forms may be required for high-altitude treks.

  • Pre-existing conditions must be disclosed—we reserve the right to refuse participation for safety reasons.

Travel Insurance

  • Mandatory for all trips (must cover medical evacuation, cancellations, and high-altitude trekking if applicable).

  • Proof may be requested pre-tour.

Vaccinations

Consult a doctor for recommended immunizations (yellow fever, malaria prophylaxis, etc.).

Guide Authority

Follow guides’ instructions for safety. On Kilimanjaro, the lead guide’s decisions are final (including early descent if medically necessary).

Assumption of Risk

Safaris and climbs involve inherent risks (wildlife, altitude, remote areas). You accept these risks voluntarily.

Damage to Property

You’re liable for willful damage to vehicles, tents, or gear (settled before departure).

Third-Party Services

We’re not liable for hotels/airlines’ performance (their terms apply).

Personal Expenses

Bring funds for tips, souvenirs, drinks, etc. (not included unless specified).

Kilimanjaro Gear

Personal gear is not included but available for rent (inspect before trek).

Lost / Delayed Luggage

Not liable for airline delays, but we’ll lend missing Kilimanjaro gear free if proven lost.

Photos & Marketing

We may use trip photos/videos for promotion (opt-out by notifying staff).

Force Majeure

Not liable for unforeseen events (natural disasters, wars, strikes, etc.).

Complaints

Contact your guide/manager immediately during the trip. 

Governing Law

Disputes are subject to Tanzanian law.

Terms & Conditions

We are a well-established business, founded in 2018 by Benjamin Kirenga (Managing Director) who worked as a tour guide and before founding the company.

We are locally owned and based in Tanzania and Kenya.

We also operate our own fleet of vehicles and employ our own drivers and guides which makes our prices competitive as it eliminates commission to third parties.
